These Terms of Service ("Terms") govern your access to and use of DocTranslator, an AI-powered document translation service available at https://doctranslate.tech (the "Service").
By creating an account, subscribing to a plan, or otherwise using the Service, you confirm that you: (a) are at least 18 years of age; (b) have read, understood and agree to be bound by these Terms; (c) agree to our Privacy Policy; and (d) are authorised to enter into this agreement on behalf of yourself or any organisation you represent.
Important: if you do not agree to these Terms, you may not use the Service. Continued use after any update constitutes acceptance of the revised Terms.
2.1 What we provide. DocTranslator is a software-as-a-service (SaaS) platform that uses artificial intelligence to translate documents. It supports PDF, DOCX, PPTX and XLSX files, preserves original document formatting, and provides glossary management for terminology consistency across translations.
2.2 Nature of the Service. The Service is a digital, intangible product delivered electronically. Access is granted immediately upon payment confirmation. Because of the immediate delivery of a digital service, refunds are subject to the specific conditions set out in Section 7.
2.3 AI model dependency. Translation output is generated using third-party AI model providers, currently DeepSeek (model deepseek-chat), accessed through the DeepSeek API. Performance and availability depend partly on these providers' operational status; we will notify users of significant disruptions. DocTranslator is an independent product and is not affiliated with, endorsed by, or an official product of DeepSeek or any other model provider.
3.1 Account creation. You must register using accurate and complete information. You are responsible for safeguarding your login credentials and for all activities occurring under your account.

3.3 Business accounts. If you register on behalf of a company or organisation, you represent that you are authorised to bind that entity to these Terms.
3.4 One account per person. Unless we have expressly agreed otherwise in writing for an organisation, you may maintain only one personal account.
We offer subscription plans for access to the Service, available on a monthly or annual billing cycle as selected at checkout. Current plan details and pricing are published on our Pricing page, which forms part of these Terms.
We reserve the right to modify plan features or introduce new plans. Price changes are handled in accordance with Section 5.2.
5.1 Automatic renewal authorisation.
By providing a payment method and subscribing to a paid plan, you expressly authorise [LEGAL COMPANY NAME] to charge your payment method on a recurring basis for the corresponding subscription fee at the interval you selected. Your subscription renews automatically at the end of each billing period unless you cancel it in accordance with Section 6. This recurring authorisation remains in effect until you cancel.
For annual subscriptions we will send a reminder email before each renewal. We may also send a reminder before a free trial converts to a paid subscription.
5.2 Taxes. Unless stated otherwise, prices exclude applicable taxes (including VAT, GST and sales tax). Where required by law, we will collect and remit such taxes.
5.3 Payment processing. Payments are processed by Waffo Pancake, our PCI-DSS compliant payment processor, which handles card data exclusively. Creem is retained as a secondary payment channel. We never store your full card details on our servers.
5.4 Billing descriptor. Charges appear on your card statement under a descriptor identifying [LEGAL COMPANY NAME] or DocTranslator. If you do not recognise a charge, contact us before disputing it with your bank.
6.1 How to cancel. You may cancel your subscription at any time, online, using either of the following methods:

7.1 General policy. Because the Service is a digital product delivered immediately, subscription fees are generally non-refundable, except in the circumstances set out below. The full policy is published at /refund and is displayed at checkout.
7.2 Refundable circumstances.
7.3 How to request a refund. Email refunds@pandada.ai with your account email, transaction ID and reason. We confirm within 2 business days and process eligible refunds within 5–10 business days to the original payment method.
7.4 Non-refundable items. Consumed quota; subscription periods during which the Service was available; annual subscriptions after 30 days from first purchase; and accounts closed for breach of these Terms or our AUP.
If you believe a charge is incorrect, please contact us at billing@pandada.ai before raising a dispute with your bank. We commit to replying within 2 business days and to resolving confirmed billing errors within 5 business days.
9.1 Ownership of output. Subject to these Terms, AI translations generated from your input ("Output") belong to you. You may use the Output for any lawful purpose permitted under Section 10.
9.2 Input licence. By submitting content to the Service ("Input"), you grant [LEGAL COMPANY NAME] a limited, non-exclusive licence to use your Input solely to provide the Service to you. We do not use your Input to train AI models.
9.3 Third-party AI model dependency. The Service relies on third-party AI model providers, currently DeepSeek. Output may be influenced by those providers' models. We do not guarantee any particular output quality and are not responsible for content generated by third-party models.
9.4 Accuracy of AI output. AI-generated translations may contain errors, omissions or inaccuracies. You are responsible for reviewing and verifying Output before relying on it, and must have translations reviewed by a qualified professional where legal, medical, financial or other professional accuracy is required.
9.5 Our platform IP. The DocTranslator platform, software, designs, glossary tooling and underlying technology are owned by [LEGAL COMPANY NAME]. You may not copy, modify, scrape or redistribute them.

Your use of the Service is governed by our Privacy Policy. Payment card data is handled exclusively by our PCI-DSS compliant payment processor, Waffo Pancake, and is never stored on our servers. Document content is encrypted in transit using TLS and processed only to deliver your translation; it is deleted after processing and is never used for AI model training.
Account data is retained for 90 days after account closure and then deleted.
12.1 Disclaimer. THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTY OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING ANY IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, ACCURACY OR NON-INFRINGEMENT.
12.2 AI output disclaimer. AI-generated translations may be inaccurate, incomplete or out of date. Do not rely on them for legal, medical, financial or other professional advice. Always verify Output with a qualified professional before acting on it.
12.3 Limitation of liability. To the maximum extent permitted by law, [LEGAL COMPANY NAME] shall not be liable for any indirect, incidental, special, consequential or punitive damages, or for any loss of profits, data, goodwill or business interruption, arising out of or related to your use of the Service. Our total aggregate liability shall not exceed the amount you paid us in the 12 months preceding the event giving rise to the claim.
These Terms remain in effect for as long as you use the Service. You may terminate your account at any time by contacting support@pandada.ai or using the in-product deletion flow.
We may suspend or terminate your account if you materially breach these Terms or the AUP, are engaged in fraud, or are required to do so by law. Where we terminate for reasons other than your breach, we will refund prepaid, unused amounts on a pro-rata basis.
